Obsidian Ride Inc. (“Obsidian Ride,” “we,” “us” or “our”) provides pre-arranged chauffeur, airport transfer, corporate transportation, hourly, event, long-distance and related private transportation services.

This policy applies to personal information collected through obsidianride.ca, reservation and quote forms, corporate accounts, telephone calls, email, text messages, WhatsApp and other communications connected with our services.

We handle personal information in accordance with the Personal Information Protection and Electronic Documents Act (“PIPEDA”) and other Canadian privacy requirements that apply to our operations.

Personal Information We Collect

The information we collect depends on how you interact with us and the transportation service you request. It may include:

• Passenger and service requirements: Child-seat requests, accessibility or mobility requirements, meet-and-greet instructions and other details needed to arrange the requested service.
• Corporate information: Company name, billing contact, traveller profile, authorized booking contacts, cost centre, invoicing instructions and recurring travel preferences.
• Payment and transaction information: Amounts charged, payment status, invoice details, refunds and related transaction records.
• Communications: Questions, special instructions, complaints, feedback and correspondence exchanged with our reservations, dispatch or customer-service teams.
• Website and technical information: IP address, browser type, device type, referring page, pages visited, approximate location derived from an IP address and website interaction data.

How We Receive Personal Information

We may receive personal information:

• Directly from you when you request a rate or make a reservation.
• From a family member, executive assistant, employer, travel coordinator, event organizer or other person booking on your behalf.
• From corporate clients arranging transportation for employees, clients or guests.
• From chauffeurs and authorized transportation partners while coordinating or completing a trip.
• From payment, communications, dispatch, website-hosting and analytics service providers.
• From publicly available flight-status and transportation sources.

If you provide another person’s information, you are responsible for confirming that you are authorized to provide it for the requested transportation service.

How We Use Personal Information

• Prepare quotes and respond to availability inquiries.
• Review, confirm, modify and manage chauffeur reservations.
• Coordinate pickup times, routes, stops, vehicles, chauffeurs, passengers and luggage requirements.
• Monitor submitted flight information and adjust airport pickup coordination when flight schedules change.
• Send booking confirmations, chauffeur details, arrival messages, receipts, invoices and service updates.
• Process payments, refunds and corporate account billing.
• Provide requested child seating, accessibility accommodations or passenger assistance.
• Respond to questions, complaints, lost-property reports and customer-service requests.
• Prevent fraud, misuse, security incidents and unsafe activity.
• Maintain business, accounting, insurance, dispute and legally required records.
• Understand website performance and improve our reservation experience and transportation services.
• Send promotional communications where you have consented or where they are otherwise permitted by Canadian law.

We will not use personal information for a materially different purpose without obtaining additional consent unless the use is permitted or required by law.

• Chauffeurs and dispatch personnel: To coordinate, perform and communicate about your transportation.
• Authorized transportation partners: Some reservations may be fulfilled or supported by a partner operator. We provide only the information reasonably required to complete the trip.
• Service providers: Companies supporting payment processing, invoicing, reservations, communications, website hosting, security, analytics and business administration.
• Corporate clients or booking organizers: When an employer, assistant, travel manager or organizer arranges and pays for transportation, relevant reservation or billing information may be shared with that authorized party.
• Professional advisers: Accountants, insurers, legal advisers and other professionals where necessary.
• Government and legal authorities: When disclosure is required by law, court order, regulatory obligation or is reasonably necessary to protect rights, safety or property.
• Business transactions: Information may be disclosed as part of a proposed or completed financing, reorganization, sale or transfer of all or part of the business, subject to appropriate confidentiality protections.

Payments and Financial Information

Electronic card payments may be processed through third-party payment service providers. Obsidian Ride generally receives payment confirmation, transaction identifiers and billing records rather than the complete payment-card number entered into a provider’s secure payment interface.

Please do not send complete payment-card details through ordinary email, text message or website contact fields. Payment information should be submitted only through the payment method or secure link provided for your reservation.

Payment service providers process information under their own privacy notices, security practices and contractual obligations.

Cookies, Analytics and Website Technologies

Our website may use cookies and similar technologies to operate forms, remember preferences, protect the website, understand traffic and improve performance.

Some service providers may store or process personal information outside Ontario or outside Canada. Information processed in another jurisdiction may be accessible to courts, law-enforcement authorities or governments under the laws of that jurisdiction.

Obsidian Ride remains responsible for personal information transferred to service providers for processing and uses contractual or other appropriate measures designed to require a comparable level of protection.

Retention and Secure Disposal

We retain personal information only for as long as reasonably necessary to provide services, administer customer or corporate accounts, complete transactions, address complaints and meet legal, accounting, tax, insurance and dispute-resolution obligations.

Retention periods vary according to the type of information and the reason it was collected. When information is no longer required, we take reasonable steps to securely delete, destroy or anonymize it, subject to backup cycles and legal retention requirements.

A request to delete information may be limited where records must be retained for legal, safety, accounting, fraud-prevention or legitimate dispute-resolution purposes.

Security and Privacy Incidents

We use administrative, technical and physical safeguards appropriate to the sensitivity of the information under our control. These may include access limitations, staff confidentiality requirements, secure systems, encryption where appropriate, vendor controls and procedures for securely disposing of records.

No internet transmission, electronic storage system or security measure can be guaranteed to be completely secure. If a privacy breach occurs, we will investigate and take reasonable corrective action. We will notify affected individuals and report to the appropriate regulator when required by applicable law.

Send a written request to info@obsidianride.ca with the subject line “Privacy Request.” We may need to verify your identity before processing the request. We will never ask you to send complete payment-card details for identity verification.

Access may be restricted where permitted or required by law, including where disclosure would reveal another person’s personal information, confidential commercial information or legally privileged material.

Email, Text Messages and Marketing

Reservation confirmations, pickup instructions, chauffeur updates, invoices, safety notices and responses to inquiries are operational communications connected with your requested service.

We send promotional emails or text messages only with consent or where otherwise permitted by Canada’s Anti-Spam Legislation. You can unsubscribe by using the instructions included in a promotional message or by contacting us.

Unsubscribing from marketing does not prevent us from sending necessary communications about an active inquiry, reservation, payment, safety matter or existing customer-service request.

Children and Passenger Information

Our website and reservation services are intended for adults arranging transportation. We do not knowingly collect personal information directly from children for marketing purposes.

A parent, guardian or authorized booking party may provide limited information about a child when it is reasonably necessary to arrange transportation, such as the need for a child safety seat. That information is used only to coordinate the requested service and meet applicable safety requirements.

Please do not provide medical diagnoses or other sensitive passenger information unless it is reasonably necessary for a requested accommodation or safe transportation arrangement.

Privacy Questions and Complaints

Obsidian Ride Inc. has designated a Privacy Officer to receive questions, access requests and complaints concerning our handling of personal information.

We encourage you to contact our Privacy Officer first so that we can review and respond to your concern. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada .

Changes to This Privacy Policy

We may update this Privacy Policy when our services, technology, legal obligations or information-handling practices change. The revised version will be posted on this page with a new “Last Updated” date.

If a change materially affects how we use previously collected personal information, we will provide additional notice or obtain consent where required by law.
